Event management -> Guests -> +Add
Step 1
From the side menu
> Click on 'Event Management'
> Click on 'Guests'
Here you will see any existing guests that have been created
Step 2
> Click on the 'Add' button in each column for the option of assigning arrangements to Guests.
- 'Travel' with existing arrangements or create new
- 'Accommodation' using existing hotels and created rooms
- 'Activities' using Existing Activities for the event.
- 'Requirements' options include, Medical condition, Accessibility, Dietary requirement.
Step 3
For each Guest after you have assigned all the necessary arrangements.
> Select 'save changes' to apply the changes
You have successfully assigned event arrangements to a Guest.
Note: We recommend you have pre-made Arrangements ready, so you don't have to create each arrangement for each Guest. It would be easier to assign guests to existing arrangements.
Adding Guest event arrangements (with screenshots)
After creating a guest, you can assign arrangements for that individual from the sections Travel, Accommodation, Activities and Requirements:
'Add' Travel Arrangements
When adding flights, you will need to enter the exact details of the flight in order for our flight API to successfully match the correlating flight. We recommend you have pre-created flights ready to assign to Guests instead of creating a flights for each guest.

> Click 'Add' under the Travel column.
> Then select 'Add Travel Arrangement' button, options available from the dropdown are 'Create New travel arrangement', 'Add Existing Travel Arrangement' and 'Add Route'.
Selecting 'Create new Travel arrangement' will open a new modal for travel creation.
Fill All necessary and mandatory fields > select 'save' once complete which will then assign the newly created travel to the Guest.
'Add' Accommodation
This form is only to add already existing accommodations in the event to a Guest and NOT used to create a new accommodation. Visit this Link to review our guide on Accommodation creation.
> To assign an existing accommodation for a guest, click 'Add' under the accommodation column
The following Form will appear for you to complete: You can select from your already created accommodation for the event.
Please note, this will add a check-in and check-out activity in the guest’s itinerary – please be mindful of arrival and departure time.
'Add' Activities
This method is only to add an already existing activity to a Guest and Not used to create a new activity that guest will be joining.
Follow these steps to locate the page needed for Activity creation: Event Management > Activity > Either 'Create New activity' or download the 'Import template'

> To add your pre-created Activities for a guest, click 'Add' on the Activity column
> You will be presented with a pop-out modal allowing you to select any existing activity date, the platform will then show the activities on that date for you to assign for a guest.
'Add' Requirements
Requirements are special notes that are added against a guest to help manage their experience:
The requirement types include:
- Dietary requirements
- Medical condition
- Accessibility
To add requirements, click 'Add' then complete the form as required. This information is displayed on the 'Guest Profile'.
Notifications
If a Guest has registered to the event and has access to the mobile app, you will see that the user has the option 'Send message' via the 'Notifications' column.
This will allow the platform user to send a message to the selected guest: the Form is shown below
Please note: A message cannot be unsent. To view a message log for the event, you can go to: Event Management > Messages > adjust the search Filter
More options for Messaging can be found on the Messages page via the 'Actions' dropdown.
Adding guests to Guest Groups
Event management -> Guest > chosen Guests -> +Add
A guest group needs to be existing before it can be applied to a guest via this method.
To add your guest into a Guest Group, click 'Manage' under the column 'Groups'.
From the pop-out screen, select the Guest group you want the guest to be in and then 'save changes'.
